There are several ways Email Messages can be sent and received using Royal dental Software accessed from the Main Toolbar.
Regular email
Send unsecure email messages to anyone entered as a patient in Royal dental Software.
- Set up email Email Setup.
- Send emails by clicking Email in the toolbar. Regular emails support HTML Email Formatting.
- Receive emails in the Email Client (optional).
- This method does not violate HIPAA as long as you don't send protected health information (PHI).
Secure Email
Send and receive secure email messages.
- Enable Secure Email in Secure Email Setup.
- See Secure Email: Workflow for sending and receiving secure email messages.
- Secure Email supports HTML formatting.
- Secure Email incurs an additional fee, see Fees for Support and Services.
Web Mail
Send and receive secure Web Mail messages to and from patients using the Patient Portal

Securely send and receive encrypted email with trusted sources. Both methods require that you obtain and install email security certificates. The methods differ in how security certificates are shared.
- Standard Encrypted Email: An email address's public key certificates must be manually shared between sender and recipient before messages can be sent or received.
- Direct Messaging: An email address's public key certificates for both sender and recipient must be hosted in DNS. Certificates can then be discovered automatically based on the recipient's domain. Direct is typically used by EHR providers to exchange patient PHI with other providers (e.g. Summaries of Care).

10/04/2021:Google began restricting less secure app access to G Suite Accounts in 2020. Royal dental Software has completed the OAuth Integration with Google, which allows us to continue to use Gmail accounts within the program. The OAuth Integration is available in versions 22.3.10, 22.2.41, and 22.1.61 and greater.

Reminder: If you are using an email client (such as Microsoft Outlook) to email multiple patients (e.g. mass email), be sure to use a Bcc field rather than To or Cc to avoid exposing your patient email addresses to other patients.
